Is Remote Online Notarization Legal and Secure? A Plain-English Guide

If you have never notarized a document over video before, it is normal to wonder whether it really counts. Remote online notarization (RON) lets a commissioned notary verify your identity and witness your signature over a secure live video session, instead of meeting in person. Done through an approved platform, the result is a properly notarized document.

How a remote session actually works

The process is built around three safeguards. First, identity verification: you answer knowledge-based questions and have your government ID checked electronically. Second, a recorded live video session, so there is a permanent record of who signed and when. Third, a tamper-evident electronic seal that flags any change made to the document after signing.

Why it is considered secure

Compared with a paper notarization, a remote session usually leaves a stronger evidence trail: the ID check is documented, the session is recorded, and the digital seal makes after-the-fact edits obvious. For many people this is more reassuring than a quick in-person signature.

Is it legal everywhere?

RON is authorized in a large and growing number of U.S. states, but the rules differ from state to state, and what matters is the state in which the notary is commissioned. That is why you should always confirm that your notary is authorized to perform remote notarizations and that the receiving party (a court, lender, USCIS, or an overseas authority) will accept a remotely notarized document.

• A computer or phone with a camera and stable internet
• The unsigned document (don’t sign it in advance — the notary must witness the signature)
